EasyErgo takes privacy and data protection seriously. The platform is designed to support workplace well-being while ensuring that all personal and organizational data is handled securely, transparently, and in line with applicable data-protection regulations, including the GDPR.
What data we collect
When you use the EasyErgo platform (the web dashboard at dashboard.easy-ergo.co) we may collect and process:
- Account information — email address, name, organisation, and role.
- Assessment content — videos, images, task descriptions, notes, ergonomic scores and reports created during evaluations.
- Technical and usage data — browser, operating system, dashboard version, and basic usage logs to improve stability, performance, and user experience.
We do not sell your data to third parties. Data is shared only with service providers when necessary to operate the platform (for example, secure cloud hosting) or when required by law.
How we use your data
- To provide and maintain the platform, including storing assessments, videos and reports.
- To support ergonomics work by enabling analysis, documentation and reporting of workplace evaluations.
- To improve the platform — understanding how features are used and identifying bottlenecks.
- To provide customer support and respond to questions or technical issues.
- To ensure security and reliability, including preventing misuse and protecting data integrity.
We apply appropriate technical and organisational measures, such as encryption and access control, to keep your data safe.
Legal basis & data responsibility
Where the GDPR applies, EasyErgo AB typically processes personal data on the basis of:
- Legitimate interest in providing and improving the platform.
- Contractual necessity when we provide services under an agreement with you or your organisation.
- Consent when explicitly required for specific features.
In most professional settings, your organisation acts as the primary data controller for assessment content (evaluations, notes, videos), and EasyErgo AB acts as a data processor providing the platform. We can adapt to specific data-processing agreements where required.
Data retention
Data is retained for as long as it is needed to provide the services you use, fulfil contractual or legal obligations, or as agreed with your organisation. You can request deletion of your data at any time (see below).
Your rights
As a data subject under the GDPR and similar regulations, you have the right to:
- Access the personal data we store about you.
- Request correction of inaccurate or incomplete data.
- Request deletion of your personal data, subject to legal and contractual obligations.
- Restrict or object to certain types of processing.
- Withdraw consent where processing is based on your consent.
If your EasyErgo account is provided through your employer or organisation, some requests may need to be handled together with your local administrator or contact person.
Requesting data deletion
You can contact us at any time to request the deletion of all data associated with your account or organisation that we control. When you submit a deletion request we will:
- Confirm your identity or authorisation for the account/organisation if needed.
- Delete the relevant data from our active systems, unless we are legally required to retain some records.
- Provide a confirmation once the deletion is complete.
In normal cases we will remove your data within 7 days of confirming your request. If exceptional circumstances require longer (legal obligations or backup-rotation processes), we will inform you and explain the reason.
